Time Management: A Guide

Sometimes, it seems that there is never enough time in a day to finish all of the tasks at hand. Everyone has only 24 hours a day, so how come other people can be more productive than us? There’s only one answer here and that is good time management.

One of the most valuable skills you can have in life is being good at time management. Learning how to manage your time effectively will improve your performance and your overall productivity wherever you are.

If you don’t manage your time well, you can never get things done on time, and you won’t be able to reach your goals at the certain time-frame you’ve set. Yes, you will make progress, but you will end up wasting precious time. Good time management will help you shift your focus. Rather than concentrating on your activities, you will be focusing more on achieving your desired results quickly. Remember, being busy does not equate to being effective.

You may spend your day doing so many tasks that by the end of it, you will have only accomplished less. This may be because your attention is divided into too many different things. Good time management will help you work smarter, not harder, which means you’ll be able to get things done in less time.

Time Management: A Guide

Here are six tips to help you get better at managing your time:

Set your Goals and Do the Most Important Tasks First

List your daily priorities and clarify your short term and long term goals. Allocate a certain time for planning your day, you’d be surprised how actual planning can save you hours of work! In your schedule of activities, whether it’s daily or weekly, note down the time required to get those things done, and place it where you can see it. Don’t fall into the trap of urgency. Focus on what’s the most important task and you’ll be able to get things done in no time!

Minimize Interruptions and Distractions

Unnecessary meetings can take up your time which you could have utilized to do your job. If possible, avoid meetings as much as you can. If you have to attend, do so with limited time. Minimize phone use as this will cause a distraction. You can turn your phone on silent mode so your concentration won’t be interrupted with notification rings.

Organize your Work Area

A cluttered environment makes you lose focus. When we lose our focus, we lose precious time. To avoid this, make sure to tidy up and organize your work area. Organize your files both the papers on your desk and the folders on your desktop. Your computer should be as organized as your office workspace, too.

Delegate Tasks

Learn to accept that you cannot do everything by yourself, hence you’ll need to learn how to delegate. Use other people’s strengths and let them do the things that you’re not very good at. Delegation is sharing the tasks that would be effectively done by others, so you can make the most of your time by doing your share.

Learn When to Say No

It’s okay to accept tasks that you know you can handle, but if you find yourself swamped and stressed out about how you are going to finish everything on your plate, learn how to decline and say no. You can only take on so much work. Be realistic with yourself and honest with others.

Stop Pursuing Perfection

There’s nothing wrong with wanting to have everything perfect, but you need to learn the boundary between wanting everything to be great and being a perfectionist. Setting unattainable expectations will just give you additional stress that you don’t need.
